Accessible Materials for the Virtual Meeting Focused on Americans Health

Why This Project Mattered

The President’s Council on Sports, Fitness & Nutrition needed ready-to-use materials for a high-visibility virtual and in-person event. From staff to speakers to attendees, each piece had to support smooth communication and reflect the professionalism of the Council’s work.

Approach and Delivery

We created a full set of materials to support the event—from save-the-dates and speaker slides to staff tools and name tags. Each item was built to be easy to use, easy to share, and ready to go for the live meeting.

Save the date that followed strict accessible guidelines

The digital save-the-date was designed for email and online distribution. It made key details clear at a glance and helped drive early engagement for the event.

Highlighting Guest Speakers on Social Media

We created quote cards for social media that spotlighted event speakers and council members. These were designed to be visually consistent and easy to share—helping build excitement and engagement before the virtual meeting.

Staff Templates That Streamlined Prep

We created simple, fillable templates to help staff stay organized before and during the meeting—including internal planning docs, discussion trackers, and other behind-the-scenes tools.

Name Tags that Prioritize Clarity

Virtual name tags helped participants quickly identify and address each other during sessions. First names were emphasized to support easier introductions and breakout discussions.

Materials for Future Youth Fitness Events

We also created a supplemental set of assets to support the President’s Youth Fitness Program (PYFP), ensuring that materials could be reused or adapted for future meetings and initiatives.

Reflections

This project shows how thoughtful updates—without starting from scratch—can breathe new life into a growing brand. By refining structure, accessibility, and visual cohesion, we helped ELI present its programs with the polish and clarity today’s HBCU leaders deserve.
